Author guide

Everything you need to write, submit and present.

Draft your abstract offline with a template, check it against the list below, then paste it into your account. Submission opens on 8 November 2026 and closes on 11 December 2026, 23:59 UK time.

Templates

Draft in Word, LaTeX or Overleaf.

The templates follow the four-part structure and word limits of the online form. You do not upload the template: you paste the text into the form, so use whichever editor suits you.

Word

Opens in Microsoft Word, LibreOffice and Google Docs.

Download (.rtf)

LaTeX

A single file that compiles with any standard LaTeX setup.

Word limits. Up to 300 words in four parts: objectives and scope (25 to 75), methods (75 to 100), results and conclusions (100 to 200), and novelty and value to industry (25 to 75). Title up to 20 words, up to five keywords.
Industry case studies use four headings of their own: the problem, the approach, the results or data, and the lessons learned. The templates include both versions.

Checklist

Abstracts that miss one of these points are the ones most often sent back or scored down.

  • Every part of the abstract is within its word range, and the total is 300 words or fewer
  • The title says what you did, in 20 words or fewer
  • All authors are listed with affiliations, and the presenting author is marked
  • Your co-authors have seen and agreed to the submission
  • You have clearance from your employer, partners or clients to share the data
  • The work has not been presented or published elsewhere
  • No product or company promotion: technologies are named generically
  • Any use of AI tools in writing or analysis is stated in the abstract
  • You have picked the closest track and your preferred format
  • The presenting author can register by 15 January 2027
Originality and AI tools

Your own work, stated openly.

You may use AI tools to check grammar or translate your own text. If a tool helped with analysis, figures or drafting, say so in one sentence in the methods. Authors are responsible for every claim, number and reference in the abstract. AI tools cannot be listed as authors.

Reviewers must not upload abstracts to AI tools, because submissions are confidential. The same rules apply to extended papers, as set out on the publications page.

Presenting

What each format involves.

The programme committee may offer a poster instead of an oral slot to balance the sessions. Your decision email confirms the format, and the programme shows your day and time from 19 January 2027.

Oral

15 minutes plus 5 for questions

  • Use 16:9 slides. The conference slide design is optional.
  • Upload your slides in your portal by 26 January 2027, as PDF or PowerPoint, so the session chair has them in advance.
  • Come to your session room 15 minutes before it starts to meet the chair and check your file.
  • Aim for about ten slides. Chairs keep strictly to time.
Poster

A0 portrait (841 × 1189 mm)

  • Print your poster yourself and bring it with you. We provide the boards and fixings.
  • Posters stay up for all three days, with a poster session on the first full day.
  • Make the title readable from 3 metres and body text at least 24 pt.
  • Lead with your main result. Put the four abstract headings to work as the poster's sections.
PGR showcase

3 minutes, one slide, plus a poster

  • Open to postgraduate researchers. Your supervisor does not need to attend.
  • One static slide, no animation, no audio or video.
  • Considered for the Best Student Award.
Virtual

For authors who cannot travel

  • Present live or send a pre-recorded talk of 15 minutes, with a virtual presenter pass.
  • If you pre-record, upload the video (MP4) in your portal by 26 January 2027.
  • Join the live question time if you can.
Rules for presenters

Register, present, or withdraw in time.

One paid registration per accepted abstract

The presenting author registers and pays by 15 January 2027. Abstracts without a registered presenter by then are removed from the programme. One person may present up to two abstracts.

If you cannot attend

Change the presenting author in your portal, switch to virtual presentation, or withdraw. Tell us as early as you can so the session can be rearranged.

If nobody presents

An abstract that nobody presents, in person or virtually, may be left out of the book of abstracts and the routes to publication. If something goes wrong at short notice, email us and we will help.

Withdrawing an abstract

Withdraw from your portal, or email papers@axisconference.org with your abstract reference. Refunds follow the terms.

Visas

Invitation letters are issued from your portal once your registration is paid. Read the visa guide early, because UK visas take several weeks.

Ready?

Create your account now and submit from 8 November.
